The preparation of impact assessments (DPIA) is a resource-intensive task that is often difficult and delays the implementation of new AI & IT solutions in the municipal sector. The process requires manual review of extensive documentation and precise entry into the Data Protection Authority's templates.
To meet this challenge, Promte has developed the app Konsekvensanalyse-udkast. The app automatically collects and collates information from relevant documents and data sources and generates a structured first draft of the impact assessment. The employee can then review, qualify and adapt the content so that assessments and formulations reflect the specific solution and the organisation's risk profile.
Experience shows that time consumption can be reduced from one to three working days to approximately two hours per analysis – at the same time as the quality and consistency of the documentation is strengthened.
The tool uses language models to review data processing agreements, privacy policies and contracts. By automating the information extraction, the risk of overlooked details is minimized, which increases the overall data quality in the documentation. The system generates structured drafts of summaries, purpose descriptions and risk assessments based directly on the organisation's own documents.
A significant advantage for decision-makers is that the tool exports data directly to an Excel file, the structure of which is identical to the Danish Data Protection Authority's official templates. This ensures that the municipality meets the authorities' requirements for form and content, without employees having to spend time on formatting or manual transfer of text.
For municipalities with special data security requirements, Promte offers - as always - the option of on-premise hosting. This enables the processing of sensitive information in the municipality's own infrastructure, which simplifies the security approvals.
