Promte Desktop brings AI closer to municipal work

Artificial intelligence does not have to stop at an answer in a chat. When AI can work with the files, folders and systems employees already use, it can help take a task all the way through to a concrete result.

That is the idea behind Promte Desktop. We are moving the capabilities users already know from Promte closer to their daily workflow. Instead of copying information back and forth, an employee can give Promte access to a designated folder and ask it to review the material, create an overview and produce the document they need.

Promte Desktop also has access to the tools that make Promte useful across many kinds of tasks. It can search the internet for up-to-date knowledge, retrieve and use information through integrations with municipal line-of-business systems, and generate images when a task requires visual communication. The familiar capabilities are all there – they have simply moved closer to the employee's files, systems and specific workflow.

From 12 documents to one decision brief

In our demo, Promte Desktop works with a folder containing 12 documents covering the project basis, status, finances, risks, legal matters and communication.

The task is simple: Review all the files, consolidate the most important points into one decision brief, and save the result as a PDF.

Promte reads the documents, compares their contents and then creates a consolidated decision brief directly in the folder. Instead of manually moving back and forth between documents, the employee receives an initial combined result that can be checked, adjusted and developed further.

It is a simple example, but it illustrates the fundamental difference: Promte does not only help formulate an answer. It can work with the material relevant to the task, use the necessary tools and deliver the result in the format the employee needs.

One assistant across municipal tasks

In a municipality, knowledge is often distributed across notes, spreadsheets, minutes, reports, consultation responses, line-of-business systems and external sources. That is why we see many potential applications for Promte Desktop.

Preparing political cases

Promte can review project material, financial notes, previous decisions and consultation responses and produce a first draft of a case presentation. If current information is missing, internet search can be included, and relevant information from a line-of-business system can be added through an integration. The employee receives a consolidated foundation that can subsequently undergo professional quality assurance.

Processing consultation responses

A large volume of consultation responses can be grouped by theme, geography or stakeholder type. Promte can summarise the prevailing viewpoints, connect them to the relevant proposal and create a document with references back to the source material.

Project and portfolio follow-up

Status reports, budget sheets, risk lists and meeting minutes can be turned into a consolidated management overview. Promte can highlight delays, budget variances, decisions and tasks that lack an owner or deadline. The result can be delivered as a memo, table or presentation draft.

Follow-up on inspections and institutional visits

Notes from multiple visits can be combined into a cross-cutting analysis. Promte can identify recurring themes, deviations and follow-up points and produce a first draft of a report or action plan.

Preparing access-to-documents requests

Promte can help create an overview of a designated collection of documents, prepare a document list and identify duplicates or material requiring particular attention. The final legal assessment and decision on disclosure naturally remain with municipal employees.

Handover and onboarding

When an employee takes over a project or professional area, Promte can consolidate its history from folders and relevant systems: What has been decided, which deadlines apply, what is the next step, and which questions remain open?

Communication for citizens and employees

A technical memo can be turned into a draft in more accessible language. Promte can also help create different versions for a website, newsletter or internal briefing. If the communication needs an illustration, image generation can be included in the same workflow.

From meeting to follow-up

Agendas, minutes and appendices can be turned into a task list with decisions, owners and deadlines. The tasks can then be carried forward to the relevant systems through integrations, ensuring that follow-up does not stop in a document.

Promte Desktop is not intended to make the municipality's decisions or replace professional judgement. It is designed to help with the time-consuming work surrounding the task: finding information, comparing sources, creating structure, producing a first draft and taking the result forward in the right format.

This allows employees to spend less time on manual intermediary steps and more time on professional expertise, quality and contact with citizens, businesses and partners.
